Pick an input device, run the test, and understand why a five-dollar wired headset beats the microphone built into your laptop.

Pick the input device
Settings → Audio lists every input your system can see. Leave it on System default and VoiceSnap Pro follows whatever the OS is using, which is convenient until a headset connects mid-call and the default moves without you noticing.
Pinning a specific device is the more predictable choice: VoiceSnap Pro then uses that microphone whenever it is connected and falls back to the system default when it is not.
Run the test before you trust it
The Test button records ten seconds and plays it back, with the level meter running underneath. It is the fastest way to find out that you have been dictating into a webcam microphone on the other side of the desk.
Listen for what is around your voice, not just for your voice. Keyboard clicks, a fan, a colleague two desks away and room echo all pull accuracy down more than people expect, and all of them are audible in the playback.
- The meter should sit in the middle of its range while you talk normally.
- Peaks that pin the top mean the input gain is too high — the clipped audio loses exactly the consonants that distinguish similar words.
- A meter that barely moves means the wrong device, a muted input, or a mic too far away.
- If the playback sounds hollow or distant, you are hearing the room, not the microphone.
Why a headset beats a laptop microphone
It is physics rather than price. Sound falls off sharply with distance, so a microphone 5 cm from your mouth captures your voice far louder relative to the room than one 50 cm away on the far edge of a laptop chassis. The close mic hears you; the far mic hears you and the room equally.
A laptop microphone also sits above the keyboard, so it picks up every keystroke, and above the fans, so it picks up those too. Beamforming in modern laptops helps, but it degrades in a reverberant room and it cannot recover consonants that never reached the microphone.
The upgrade that matters is proximity, not expense. A cheap wired headset outperforms an expensive desk microphone placed badly, and nothing you can buy compensates for sitting a metre away.
Bluetooth, and why wired still wins
When a Bluetooth headset's microphone is active, both macOS and Windows switch the headset into a hands-free profile with a much narrower audio bandwidth. You can hear it happen — music quality drops the moment the mic opens — and the transcription has less to work with.
If you want to keep wireless audio, use wired input and wireless output: a USB or 3.5 mm headset for dictation, or earbuds for listening plus a separate USB microphone. Wired earbuds with an inline mic cost almost nothing and are consistently good enough.
Position and levels
Put the microphone 5 to 10 cm from your mouth and slightly off to one side, so your breath passes it rather than hitting it. That single change removes most plosive popping on p and b sounds.
Set the input level in the OS, not by speaking louder. On macOS: System Settings → Sound → Input. On Windows: Settings → System → Sound → Input → device properties. Aim for a meter that sits mid-range at your normal speaking volume, then leave it alone.
- On Windows, turn off audio enhancements for the input device if your first word keeps getting clipped — some drivers ramp the gain rather than opening at full level.
- Windows exclusive mode lets one app lock the microphone. If a conferencing app has it, VoiceSnap Pro cannot record until that app releases it.
- Speak at a conversational volume. Shouting distorts; whispering leaves the model guessing.
Rooms, noise, and open offices
Hard surfaces reflect your voice back at the microphone a few milliseconds late, and that echo blurs consonants. A rug, a curtain, a bookshelf or simply sitting closer all reduce it more than any software setting.
In a shared space, push-to-talk is the right mode: the microphone opens only while you hold the key, so the room is not being recorded between sentences. A close-mic headset also lets you speak quietly and still be transcribed accurately, because the microphone is near enough that quiet is loud.
What to buy, briefly
In order of price, all of these are fine: wired earbuds with an inline microphone, a wired USB headset, or a USB microphone on a short boom arm positioned close to your mouth. Any of them beats a laptop microphone.
What is not worth paying for is a studio condenser sitting a metre away, or a wireless system bought for its range. Dictation accuracy is dominated by distance and background noise, and both of those are yours to fix for free.
